THE WORKFLOW

One job.
No loose ends.

Keep the scope, decisions, evidence and money together across every customer account.

01 / REQUEST → ESTIMATE → APPROVAL

Make the quote specific.

Record the customer, vehicle, stock or PO reference, window groups, film series, shade, work location and price. Add photos and keep internal evidence separate from what the customer sees.

Prepare the estimate, then create a seven-day review link. The named contact can approve or decline without creating an account. Each response records the supplied name and time.

Staff share the link themselves. A typed name is an acknowledgment; it is not identity verification.

02 / ASSIGN → ACKNOWLEDGE → SCHEDULE

Know who’s doing it.
And when.

Solo operators start with the work assigned to themselves. Teams choose an installer and get an acknowledgment before work starts.

Schedule in the business’s time zone, with the work location and expected duration. ScopeLatch checks for overlapping appointments for the assigned person when saving. A visible blocker keeps work from starting or completing prematurely.

03 / ADDITIONAL SCOPE → CUSTOMER DECISION

An extra step deserves
a separate decision.

When existing film needs removal, write the added work and amount into a scope change. Share a fresh approval link and hold affected work until the customer answers.

Approved additions update the agreed total. Declined changes remain in the history. The next person can see what was requested and who decided.

04 / EVIDENCE → ACCEPTANCE OR REWORK

Show the finish.
Keep the response.

Complete check-in and installation checks, then add customer-visible photos or an inspection note for the current work round. Share the completed work with aftercare and warranty instructions.

The customer can accept it or describe a concern and attach review photos. Rework returns to scheduling and requires fresh completion evidence. Manufacturer warranty registration remains a separate step.

05 / INVOICE → PAYMENT RECORD → ARCHIVE

Finish the business
side of the job.

Issue a numbered invoice after customer acceptance, with business details, the original service, approved additions, entered tax, due date and payment instructions. Share it through the customer link or print/save a PDF.

Record deposits and payments received through Venmo, cash, check or other methods. Keep references and named corrections. Fully settled, accepted jobs can be archived with their history.

ScopeLatch tracks payment records. It does not move money, calculate tax obligations, reconcile a bank account or sync accounting software.
